Open each submission in the private Voice inbox, listen back, check the transcript and consent state, and record team decisions before you use anything in a show. The Voice inbox stays separate from your shows and episodes, so you can review material in private and keep control over what happens next.

Before you start

  • Voice collection must be enabled for your account.
  • You need at least one submission in your Voice inbox.
  • Your team should have a review workflow planned before submissions start arriving.

What is in the Voice inbox

Each submission in the private Voice inbox brings together the information your team needs to review it in one place. That includes the recording, transcript, source details, consent state, notes, review status, and team decisions.

The Voice inbox is separate from your shows and episodes. Reviewing a submission here does not publish it or move it into an episode automatically.

Review a submission

Work through each submission in the same order so your team stays organised and decisions are easy to follow later.

Open the Voice inbox from your dashboard

Go to your dashboard and open the Voice inbox for your account. You should see your incoming submissions listed in a private review space.

Select a submission to review

Choose the submission you want to review from the inbox list. Open it to see the recording and the submission details together.

Listen to the recording

Play the recording from the submission view and listen all the way through before making a decision. This helps you judge audio quality, relevance, and whether any follow-up is needed.

Read the transcript

Voice submissions are transcribed automatically on arrival, so you can review the transcript alongside the audio. Read through it to confirm the main points, spot any sections that need a second listen, and make review faster for the rest of your team.

Check source details and consent state

Review the source details to understand where the submission came from, then confirm the consent state recorded with it. If consent is unclear or missing, pause your decision until your team has confirmed how to proceed.

Add notes for your team

Add notes that explain what stands out in the submission and what action you recommend next. Good notes help your team recognise strong material quickly and avoid reviewing the same question twice.

Set the review status

Update the review status so everyone can see where the submission stands. Use the status consistently so filtered inbox views stay reliable as submission volume grows.

Record team decisions

Capture the final team decision on the submission before you move on. Record whether you want to use it, follow up with the submitter, keep it for later, or set it aside.

What happens next

After review, the submission stays in the Voice inbox with its updated status, notes, and team decisions. Nothing becomes public automatically, so your team can decide what to use, what to follow up on, and what to set aside.

Privacy and billing

The Voice inbox is private to your team, and no submission becomes public automatically. Consent state is tracked for each submission so you can review permissions alongside the audio and transcript.

Automatic transcription happens on arrival for Voice submissions only. That transcription workflow does not apply to standard episode uploads.

Troubleshooting

The transcript is missing or incomplete

Voice submissions use automatic-on-arrival transcription, but the transcript may take a little time to finish processing after the recording arrives. Wait a short time, then refresh the inbox and open the submission again.

If the transcript appears but looks incomplete, listen to the recording directly and review it again after refreshing. Keep in mind that this automatic transcription workflow applies to Voice submissions, not to standard episode uploads.

I cannot find a submission

Start by checking any review status filters applied to the inbox. A submission may still be present but hidden from the current view because of its review status.

If the submission still does not appear, check the source details you expect to see and confirm you are looking in the correct Voice inbox. This helps when several submissions arrive close together from different collection sources.

Check whether consent was presented during the recording flow used by the submitter. If consent was not captured, do not assume permission from the existence of the recording alone.

If you still need to use the submission, contact the submitter and confirm consent before moving forward. Record the outcome in your team notes so the decision is recognised later.
